MINUTES MINUTES OF THE ANNUAL GENERAL MEETING OF OAKE PARISH COUNCIL HELD ON TUESDAY 12 TH MAY 2009 AT OAKE & DISTRICT HALL PRESENT: Cllrs. C. Bishop, G. Gill, A. Dyke, J. Paul, P. Coles, the Clerk and Mrs. C. Smeaton S.C.C. Cllr. Bishop thanked Mrs. Caroline Smeaton for attending and for all the hard work she has put in during her time as a Somerset County Councillor, he said that the Upper Tone was a rather difficult area. Cllrs. wished her all the best for her retirement. Election of Chairman: Cllr. C. W. Bishop was proposed as chairman by Cllr. Gill and seconded by Cllr. Coles, all agreed. The ‘Acceptance of Office’ form was duly signed. Election of Vice Chairman: Cllr. J. Paul was re-elected as Vice Chairman proposed Cllr. Gill, seconded Cllr. Dyke. PUBLIC QUESTION TIME: None DECLARATIONS OF INTEREST: Cllr. J. Paul (Finance) APOLOGIES: Cllrs. D. Price and D. Roots. MINUTES: The Minutes of the meeting held on the 21 st April were signed as being a correct record. MATTERS ARISING: Driver Awareness Course: At the moment six people have signed up for the course, to make it viable another six are required. ITEMS FOR DISCUSSION: 12109 To Agree & Adopt the Accounts. The Accounts had been Audited by Ms. P. Archer, and will now go forward to Moore Stephens the main Auditors. It was proposed by Cllr. Gill, seconded by Cllr. Coles that they be adopted. 12209 Compete Audit Papers: Section 1 of the Audit paper was duly signed by the Chairman and RFO. Section 2 was answered by Cllrs and again signed by both Chairman and RFO. This is now ready to be forwarded to the main Auditors. 12309. Risk Assessment: It was agreed this be adopted, proposed Cllr. Coles, Seconded Cllr. Dyke. Register of Members Interests: Cllrs. were reminded that any changes should be reported and entered on their forms with all haste. PLANNING: 27/09/0007 Enlarging existing gateways, creation of new domestic driveway, erection of new farmyard area at Kanpp Farm, Hillfarrance. Cllrs. supported this application on the proviso that where the request is for a new domestic driveway then the public footpath sign be re-instated and a kissing gate or similar was installed to ensure this path is protected. (WG 9/37) also that no loose stone is used in the entrance to the drive, which could wash down into the road which floods in that area.
